Zapier Lead Routing for a Solo Business: 5 Hours a Week Saved

When you run a business on your own, every hour spent copying leads into a CRM is an hour not spent serving clients. Here’s how we used Zapier lead routing, smart forms and automatic text replies to save a solo operator five hours a week, and finally connect ad spend to real bookings.

The client

This project was for The Modern Brides BFF, a wedding business run by a solo operator who relies on paid ads to bring in new enquiries. With no team to share the load, admin time came straight out of the hours available for clients.

The problem: manual lead logging and untraceable ad spend

Leads were coming in, but the process around them was slow and blind:

  • Rigid forms. The enquiry forms couldn’t adapt to what each lead needed, and they didn’t capture where the lead came from.
  • Every lead was logged by hand into the CRM, then followed up manually.
  • Ad spend couldn’t be traced to bookings. Money was going into Meta (Facebook and Instagram) ads, but there was no clear way to tell which ads were actually producing paying clients.

All told, manual lead logging and follow-up were eating about five hours every week. And without conversion data, every ad decision was a guess.

If you can’t see which ads lead to bookings, you can’t tell good spend from wasted spend.

How we automated lead capture and routing with Zapier

We built a lead flow that runs on its own from the moment someone fills in a form, with Zapier connecting each step.

1

Smart forms that tag every lead’s source

We replaced the rigid forms with smart forms that adapt to the enquiry and automatically record where each lead came from. Every lead now arrives already tagged with its source, so there’s no guessing later.

2

Automatic sync to the CRM

Using Zapier, each new lead is sent straight into the CRM with its details and source attached. No copying, no typos, and no leads forgotten in an inbox.

3

Instant text replies during business hours

Speed matters with new enquiries. The system now sends a text reply automatically during business hours, so every lead hears back quickly even when the owner is busy with a client.

4

Conversions reported back to Meta

Finally, we set up conversion reporting back to Meta. When a lead books, that result is sent back to the ad platform. That means ad spend can finally be traced to bookings, and Meta’s ad delivery can learn from real conversions instead of just form fills.

The tech stack

Smart formsCapture enquiries and tag each lead’s source
ZapierRoutes every lead into the CRM and triggers follow-up

Meta conversion reportingSends bookings back to Meta so ad spend can be tracked to results
The result

5 hours a week, gone

Five hours a week of manual lead logging and follow-up are gone. Over a year, that’s more than 250 hours back for a business with no one else to hand the work to.

Just as valuable, the business can now see which ads turn into bookings, so ad budget can go to what’s actually working.

Lessons for solo businesses running ads

  1. Capture the lead source at the form, not later. If it’s not recorded when the lead arrives, you’ll never get it back.
  2. Never retype a lead.Zapier can move form data into your CRM in seconds, with no errors.
  3. Reply fast, automatically. An instant text tells a lead you’re on it, even when you’re busy.
  4. Close the loop with your ad platform.Report bookings back to Meta so you’re measuring real results, not just clicks.
